
Executive Assistant, Light in the Attic
Leading record label and distribution company, Light in the Attic, is hiring an Executive Assistant to elevate the operations functions of the company and help the team run more efficiently. This newly-created role reports to the General Manager and will support management in key day-to-day operations. This role will work cross-functionally across multiple departments internally and with external partners to advance priorities of both record label and distribution businesses. In doing so, you will be a key player in supporting Light in the Attic’s catalog of vinyl records, CDs, cassettes, digital releases, and non-music merchandise, as well as that of our ever-expanding network of partners and distributed labels including Nancy Sinatra, Sony Japan, Waxwork, MONDO, iam8bit, Tidal Waves Music, Ship To Shore, and more. This role will be integral in shaping the future of the business, working as a key member of our Team, leveraging your organizational skills to deliver a best-in-class experience to our customers and partners.
You will:
- Support day-to-day activities of the executive team
- Schedule meetings, calls, and appointments for executive team and for our artists and partners as needed
- Proactively handle follow-up communication, booking of travel, and basic research assignments
- Coordinate company meetings & offsite events
- Create and manage meeting agendas and itineraries, including tracking action items for executive team
- Prioritize conflicting needs appropriately, making sure matters are resolved expeditiously and proactively, with courtesy, kindness, and fairness
- Follow through on projects to successful completion, often with deadline pressures
- Maintain professionalism and strict confidentiality, exercising discretion with sensitive information
- Coordinate, support and prepare for weekly marketing meeting including weekly reports, updates, and action items coming out of the meeting
- Track and maintain office inventory and supplies, executing orders on a monthly cadence as needed
- Manage Release Assets, including product mocks, one sheets, press releases, UPCs, audio, website release page text, artist website photos, press center photos, etc. and assuring all of these items are organized internally and accessible to the Team
- Oversee intern hiring, interviewing, scheduling, and management
- Assist in Release production-related activities, including licensing photos, invoicing, proofing of text, art, etc.
- Own project promo mailings for Light in the Attic priorities and internally for our monthly employee promos
- Master the art of organization, including light contract admin (filing and calendaring), maintaining our online archive, and assuring all key assets are filed appropriately on our shared server and accessible to key stakeholders
- File copyrights of LITA assets
- Assist w/ building project P&Ls
- Work with General Manager to manage our Employee Appreciation program, including our volunteer program and birthday and work anniversary recognition
- Additional tasks as needed

- Ideal candidates will have a passion for music, especially archival reissues, but most importantly an open mind and general appreciation the broad audiences served by Light in the Attic
- Some Shopify experience (preferably D2C and Wholesale channels)
- Proficient with G-Suite (Sheets, Docs, Calendar, Email, G-Drive, etc), Slack, Asana, and Zoom or similar platforms
- Ability to collaborate and influence cross-functionally
Nice to haves:
- Experience working in the music business in an administrative support role.
- Record label or distribution experience (2+ years)
- Strong understanding of various facets of the music ecosystem.
- Bachelor’s Degree
