Position Responsibilities

The Pre-Production Coordinator supports our New York account manager team and ensures coordination with other departments to deliver the best service to our record company and artist clients. This positive, motivated, individual works with colleagues, clients and vendors to ensure availability of the necessary assets and parts, and effective project management for vinyl releases to be produced on time.


This full-time role works hybrid in the New York City office, on-site 2 to 3 days a week. 


Specific Responsibilities 

    Act as direct support for 2 sales account managers by organizing project information and flag potential issues or delays. 

    Assist account managers, production team member(s), and outside vendors by utilizing problem solving skills as needed should there be any concerns related to the production of current and/or newer projects.

    Aid account managers in the evaluation and releasing processes of new projects.

    Collect assets including, but not limited to artwork and audio from clients and advance these items to the appropriate parties.

    Collaborate and coordinate with various departments such as Production, QA, Packaging, and other Team Leaders to advocate for our client’s projects.

    Update and maintain all spreadsheets related to production tasks via Microsoft Excel, Google Business Suite, and custom company software.

    Keep internal and external colleagues aware of timelines and deadlines and provide reminders and status reports. 


Required Skills and Experience

    Passion for music and vinyl.

    Minimum 1 year of administrative and/or coordination experience required.

    Prior experience in supporting sales, production, physical, merch or other relevant departments in the music industry. 

    College degree in music business, business, communications, economics, operations management, accounting, or related major, or equivalent work experience.

    Proficient in Microsoft Office and Google Business Suite.

    Strong self-initiative and work ethic with a drive to achieve sustainable results.

    Excellent team player, but can also work independently. 

    Demonstrates exceptional written and verbal communication skills.

    Ability to achieve results in a fast-paced production environment with shifting priorities.

    Exceptionally organized individual with a strong attention to detail.

    Highly analytical thinker who possesses very strong problem-solving skills.

    Displays commitment to accuracy, efficiency, organization and managing multiple projects while meeting departmental goals and deadlines.

    Strong work ethic, integrity and ability to properly handle confidential information. 


Compensation

Competitive compensation and benefits will be offered to the successful hire.  Depending on the knowledge, skills, abilities, experience and contacts of the final hire, it is anticipated that the salary will be at an annual rate of $62,400 to $64,350.
